Privacy Policy

1. What We Collect

When you use FitLogs we collect the following information:

• Phone number — used to identify your account and send SMS replies
• Health log entries — confirmed calorie estimates, macro data, step counts, sleep hours, hydration, weight, and routine completions that you explicitly confirm before saving
• Body progress observations — AI-generated text descriptions of visible physical changes that you confirm before saving. No images are stored.
• Usage data — timestamps of messages, log entry counts, and feature usage for service improvement

2. What We Do Not Collect

• Photos or videos — ever. Images sent for analysis are processed in memory by Anthropic's Claude AI and immediately discarded. They are never written to disk, never stored in any database, and never accessible to FitLogs staff. This is enforced at the storage layer — our database explicitly rejects binary and image data regardless of how it is submitted.
• Third-party image content. If images containing other individuals or any content violating Anthropic's usage policies are sent, that content is governed by Anthropic's Terms of Service exclusively. FitLogs is not a party to such transmissions and assumes no legal responsibility for content processed by Anthropic's API.
• Precise location — we do not track your GPS location
• Health records — FitLogs is not a HIPAA-covered entity. Do not submit protected health information until the Lab Report feature launches with its full consent framework.

3. How We Use Your Data

Your data is used exclusively to:

• Provide your personal health tracking dashboard
• Send SMS confirmations and analysis results in response to your messages
• Calculate your health score and spider chart metrics
• Generate weekly summary reports (Coach tier)

We do not sell your data. We do not use your health data for advertising. We do not share your data with third parties except as described in Section 4.

4. Third-Party Services

FitLogs uses the following third-party services to operate:

• Twilio — SMS delivery and MMS photo relay. Twilio temporarily holds MMS content to deliver it to our webhook. Their privacy policy applies: twilio.com/legal/privacy
• Anthropic Claude — AI analysis of food photos and body check-in photos. Images are sent to Anthropic's API for analysis and are subject to Anthropic's usage policies: anthropic.com/privacy
• Google Firebase — secure database storage for your confirmed log entries. Google's privacy policy applies: firebase.google.com/support/privacy

5. Data Retention

Your confirmed health log entries are retained as long as your account is active. You may request deletion of your data at any time by texting DELETE ACCOUNT to 1-888-596-5467 or emailing privacy@fitlogs.ai.

Photos are never retained — they are discarded immediately after AI analysis regardless of whether you confirm or discard the results.

6. Security

Your log data is stored in Google Firebase with access controls restricting reads and writes to your authenticated account only. SMS communications are transmitted over Twilio's encrypted infrastructure. We do not store payment information — billing is handled by Stripe.

7. Your Rights

You have the right to:

• Access all data stored about you
• Correct inaccurate log entries via the dashboard
• Delete your account and all associated data
• Opt out of SMS communications by texting STOP
• Export your log history in JSON format (Track and Coach tiers)

8. Anonymized Aggregate Data

FitLogs may use anonymized, non-personally-identifiable aggregate health metrics for research, analytics, and business purposes. This means population-level patterns derived from confirmed log entries — such as average step counts, calorie trends, or sleep distributions — with no names, phone numbers, dates of birth, or any other individually identifying information attached.

No individually identifiable information is ever shared with third parties. You may opt out of aggregate data use at any time by emailing privacy@fitlogs.ai.

9. Future Lab Report and Medical Document Upload (Coming in v2)

A future version of FitLogs will allow optional upload of lab reports and medical documents for AI-assisted metric extraction. This feature will include:

• Explicit HIPAA acknowledgment consent before any document is uploaded
• Explicit consent acknowledging that documents are transmitted to Anthropic's Claude AI for analysis and governed by Anthropic's privacy policy
• Immediate document discard after analysis — only user-confirmed numeric values are stored
• No storage of personally identifiable information from documents including names, dates of birth, medical record numbers, or provider names
• FitLogs assumes no legal responsibility for data transmitted during the upload and analysis process

This feature will not be activated until all consent mechanisms described above are fully implemented and disclosed.

10. Children's Privacy

FitLogs is not intended for users under 18 years of age. We do not knowingly collect information from minors. If you believe a minor has created an account please contact us at privacy@fitlogs.ai.

11. Changes to This Policy

We may update this privacy policy as the service evolves. Material changes will be communicated via SMS. The date at the top of this page reflects the most recent update.
